Conditions of use of the Center for Maps, Prints and Photographs
Conditions of use of the facilities and collections of The Centre for Maps, Prints and
Photographs.
Following materials may be used in the reading room:
- Materials from the collections of maps, prints and photographs
- The online catalogue of the library to find materials in the collections
- Printed and handwritten catalogues to the collections
- The reference collection in the centre
- The collection of photographic books (most of them on open shelves in the reading
room)
- Own notes and other study material
- Books borrowed from the general collections of the library (to a limited degree)
Note that materials from the collections of maps, prints and photographs may not be used at
nor taken to other reading rooms in the library for reasons of security and preservation.
Books and atlas in the reference collections may be taken to Reading Room West when the
centre is closed (evenings and Saturdays). Please notify the attendant at least 30 min. before
closing time if you want your books to be brought to the Reading Room West. (max. 10 items) The
books will be returned next morning when the centre opens again.
Following rules must be observed when using the Centre:
- Coats and bags may not be brought into the reading room. Please use the lockers (on
all floors of the Black Diamond).
- Cell phones must be switched off.
- Food and drink are not allowed.
- Smoking is not allowed.
- Laptops may be used as long as it is not disturbing to other readers.
- You may use any of the places designated for readers’ use. Your are obliged, though, to
follow the instruction of the staff in case they point you to a particular seat.
- If you need to see some material for a longer period, you may be given a special shelf for
the material, but only after arrangement with the staff. If you arrange to have your own material
to be kept at the centre, this will be at your own risk. The library assumes no responsibility for
the safe keeping of your own material.
- When ordering materials the instructions of the staff as to the process must be followed.
- You are free to take books from the shelves and files from the documentary archive to your
seat. Please leave the books and files at your place after use. The staff will do the reshelving
and filing.
- Materials from the collections outside the reading room will be brought to you by a staff
member. Materials must remain in the same order and the same files as they were brought to you.
- Materials should be handled with the utmost care. Clean hands are required for materials on
paper. When handling photographs cotton gloves are obligatory and will be given to you by the
staff.
- Ballpoint pen, fountain pen and other writing equipment using ink is forbidden. Only a soft
pencil is allowed. The attendant will supply you with pencils if needed.
- Users, who are not residents of Denmark, must obtain a library card before using the
collections of maps, photographs and prints.
- Use of rare and valuable materials require a Reading Room Identity Card.
- Photocopying of original materials (drawings, photographs etc.) are not allowed for reasons
of preservation. Copies can be ordered from the Library’s Photographic studio. Order slips
available from the attendant. Please follow instructions when filling out the form to ensure
correct fulfilling of your order. The materials copied may be in copyright and not used without
permission of the copyright holders.
- Photocopying from books, periodicals and the files of clipping may be done at the machine
in the reading room. Extensive copying may be referred to the central copying service.
- When you have finished with the material, it must be returned to the attendant who will
collate it before leaving.
- Rare and valuable materials must be returned to the attendant every time you leave your
seat. Other material may be left at your seat if you want to take a short break. Notify the
attendant before leaving.
All users must follow the above rules and the instruction of the staff. Complaints may be
directed to the Head of the Department.
The reading room inspector is in charge of day-to day business.
